About the job Operations Assistant

An Operation Assistant is a professional who organizes and maintains the daily operational tasks of the real estate company by performing administrative work, inspecting properties for condition compliance, and coordinating maintenance updates with contractors.

Responsibilities:

  • Assist in day-to-day operations of the property management company
  • Building positive relationships with prospective and current tenants.
  • Overseeing the timely and successful completion of maintenance requests.
  • Procure necessary materials or services for property maintenance as needed
  • Showing properties to prospective tenants and answering relevant questions
  • Inspect property conditions and coordinate maintenance activities
  • Manage budgets, accounts, notices, etc.
  • Collaborate with the managers and team to create advertisement material
  • Maintain organized and updated resident files and records
  • Report any problems or issues to the property manager
  • Utilize productivity software to generate and deliver communications for tenants and other stakeholders
  • Supervise community and property management employees, including maintenance crews
  • Response to requests from local governments and communities to ensure legal compliance in all managed properties

Qualifications for Assistant Property Manager

  • A Bachelor's or Master's degree may be necessary, depending on the industry served
  • A real estate broker license may be required, depending on the property management company's location
  • Other licenses or certificates may be necessary, depending on the company's location
  • 1-3 years of previous experience working in property management
  • Proven knowledge and understanding of property management procedures, including legal requirements
  • Experience using standard operating systems, such as Microsoft Windows or MacOS
  • Comfort creating reports and other materials using Microsoft Word and other tools
  • Detailed-oriented with a notable focus on ensuring and maintaining accuracy in record-keeping
  • Ability to communicate effectively and positively with current and potential tenants
